We handle personal information in accordance with Australian privacy laws applicable to our business.
Depending on how you interact with us, we may collect:

Coaching intake information, session notes, agreed actions and relevant correspondence.

We aim to collect only information reasonably necessary for the relevant purpose.
During coaching, you may share sensitive information about your health, wellbeing, beliefs or personal experiences.
We collect sensitive information with your consent where required, and only where reasonably necessary for our services, unless collection is otherwise required or authorised by law.
Please avoid including detailed health information in general website enquiries or appointment-booking forms. We can discuss a suitable way to provide information relevant to your coaching.
Our coaching services focus on personal and professional development. They do not provide medical diagnosis, psychological assessment or mental health treatment.
We generally collect information directly from you through enquiries, forms, coaching sessions, email, telephone calls and other agreed communications.
We may receive information from another person, such as a referring professional, where you have authorised this or where permitted by law. Where appropriate, we will explain what information we have received and why.
You may make a general enquiry anonymously or using a pseudonym where practicable. We may need identifying information to provide coaching, arrange appointments or meet legal obligations. If you choose not to provide necessary information, we will explain any resulting limitations.
We use personal information to:

To professional advisers, such as our accountant, insurer or legal adviser, where reasonably necessary and lawful.
To another professional or person with your consent.
Where required or authorised by law, including a valid court order.
Where permitted by law to address a serious threat to life, health or safety.
We limit disclosures to information appropriate for the purpose.
If an employer or another organisation pays for your coaching, we will agree in advance what administrative or progress information may be shared. Payment for coaching does not, by itself, give that organisation access to your session notes.
We do not sell personal information or share client information with unrelated businesses for their own marketing.
We use external providers to support our website, communications, appointment bookings and coaching services. Depending on how you interact with us, these providers may process personal information needed to perform their functions.
Our providers include:
Unbounce — website hosting and enquiry forms. Information submitted through website forms and technical information about website visits may be processed by Unbounce. Unbounce Privacy Policy
Microsoft Outlook — email communications. We use Outlook to send and receive enquiries, appointment communications and coaching correspondence. This may involve processing contact details, email content and attachments. Microsoft Privacy Statement
Calendly — appointment bookings. Calendly processes booking information such as your name, email address, chosen appointment time and any responses you provide in the booking form. Calendly Privacy Notice
Zoom — online coaching appointments. Zoom processes information needed to provide video appointments, including participant details, audio, video and technical connection information. Stripe — payment processing. We use Stripe to process coaching payments. When you pay through Stripe, it processes payment and billing information. We receive transaction information needed to confirm payment, issue invoices and manage refunds; we do not receive your full card number or card security code through Stripe. Stripe Privacy Policy
These providers handle information under their applicable privacy policies and our service arrangements with them. We limit the information we share to what is reasonably necessary for the relevant purpose.
Some providers may process or store information outside Australia. Please see “Overseas processing and storage” for further details.
We use Unbounce, Microsoft Outlook, Calendly, Zoom, Stripe and Dropbox to support our website, communications, bookings, coaching appointments, payments and electronic record storage.
Through these services, personal information may be stored, processed or accessed outside Australia, including in the United States and other countries where our providers and their service partners operate. Locations vary depending on the service, account settings and features used.
Where you consent to Zoom’s AI-assisted features, meeting content processed to generate summaries may also be processed overseas.

Privacy laws in other countries may differ from those in Australia. We take reasonable steps to protect personal information when using external providers and comply with applicable privacy obligations.

Our website is hosted by Unbounce. We use its built-in reporting to understand website visits and measure actions configured as conversions, such as submitting an enquiry form or clicking a selected button. This helps us assess and improve our website.
Unbounce uses cookies and similar technologies and processes technical information, including visitor IP addresses, to provide website functionality, maintain security and calculate visitor and conversion statistics.
Some website resources are loaded from third-party providers, which may receive technical information when your browser requests those resources.
You can manage or delete cookies through your browser settings. Restricting cookies may affect website functionality and how visits are measured.
If you follow a link to an external service, such as our booking or payment provider, that service handles information under its own privacy policy. Further details and provider privacy policy links appear in our “Service providers” section.
You can opt out of marketing messages at any time by using the unsubscribe option provided or contacting us. Opting out does not prevent necessary communications about appointments, payments or services you have requested.
We seek separate permission before publishing a testimonial or using identifying client information in promotional material.
Booking coaching does not, by itself, constitute consent to publish your story or testimonial.
With your prior consent, we may use Zoom’s AI-assisted features to prepare session summaries and suggested action points. These features process meeting content, including spoken contributions, to generate a written summary.
Before using these tools, we explain their purpose and ask for your consent. Participation is optional. You may decline or withdraw your consent at any time without affecting your access to coaching. If you withdraw consent during a session, we will stop using the feature for the remainder of that session. This does not undo processing that has already occurred.
We review AI-generated summaries for accuracy before using them as coaching records or sharing them with you. Summaries retained as client records are managed in accordance with our storage, security and record retention practices.
Audio or video recording requires separate prior consent. Agreeing to an AI-assisted summary does not mean you have agreed to an audio or video recording.
We use Dropbox to store and organise electronic coaching records and business documents, including client notes, coaching agreements and financial records. Client email correspondence is managed through Microsoft Outlook.
Our Dropbox account is protected by a unique password and two-factor authentication, which adds an extra verification step when signing in. Dropbox also encrypts files during transfer and while stored on its servers.
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. However, no electronic storage or transmission method is completely secure.
Our service providers may process or store information outside Australia. Further details are provided in the “Service providers” and “Overseas processing and storage” sections of this policy.
We retain and dispose of records in accordance with the “Record retention” section of this policy.
We generally retain coaching records, including client notes, agreed actions and relevant email correspondence, for seven years after your last coaching session.
Routine administrative messages and duplicate information may be deleted sooner where they are no longer needed and do not form part of the client record.
We retain client financial records, including tax invoices, receipts and billing records, for at least five years after the records were prepared or obtained, or the relevant transactions were completed, whichever is later, in accordance with applicable Australian tax record keeping requirements.

Records may be retained longer where required by applicable law or insurance obligations, or where reasonably necessary for an outstanding complaint, audit, dispute, investigation or legal claim.
When the applicable retention period has ended and the information is no longer required, we take reasonable steps to securely destroy or de-identify it.
You may contact us to request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
We may need to verify your identity before responding. We aim to respond within 30 days and will explain any lawful reason for refusing a request, together with available complaint options.
There is no fee to make an access or correction request. If a reasonable access charge is permitted and proposed, we will explain it beforehand.
You may also ask us to stop optional uses of information or request deletion. We will consider your request, but some information must be retained to meet legal or recordkeeping obligations.
